Office Administrator Job Description

About the Farm Located in Nevada City, CA, Bluebird Farm was established in 2001, and specializes in high quality, nutrient dense, greens, culinary herbs, microgreens, floral design and fresh seasonal flowers. We are dedicated to using organic and sustainable growing methods to enhance the health of our land, build rich soil and provide the most delicious and beautiful food and flowers possible. We grow on 1.5 acres and sell to schools, through veggie and flower shares, food hubs, grocery stores, restaurants and direct customers. We have been awarded a 3-year CDFA grant starting in January to support increased sales to schools as well as on-farm, farm-to-school education.

Summary of Position
We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will possess strong marketing and communication skills and fluency with many computer platforms. The Office Administrator will support the Farm Owner in completing and enhancing office tasks such as sales of farm products, light bookkeeping, and grant management.

Duties

  • Sales and marketing of farm products

  • Maintain organized filing systems for documents, both physical and digital.
  • Plan and coordinate company events, meetings, and other activities.
  • Oversee payroll processing and maintain accurate employee records.
  • Assist with human resources functions including onboarding and employee relations.
  • Manage farm calendar
  • Maintain organized filing systems for documents, both physical and digital.
  • Provide clerical support including data entry, correspondence with customers, and report generation.
  • Implement medical office management practices as needed to support healthcare operations.

Qualifications

  • Proven experience in an administrative role with supervisory responsibilities preferred.
  • Strong event planning skills with keen attention to detail.
  • Excellent communication skills, both verbal and written.
  • Proficient in clerical tasks such as filing, data entry, and document management.
  • Experience with payroll systems and human resources practices is a plus.
  • An ability to manage schedules effectively while prioritizing tasks in a fast-paced environment.
  • Familiarity with Microsoft suite and excel
  • Familiarity with canva or other design applications, MailChimp, stripe, and QuickBooks, a plus.
  • Strong organizational skills with the ability to multitask efficiently.
